The Benefits Administrator plays a critical role in the Metropolitan Opera’s seven-person Human Resources/Labor Relations department, which serves approximately 3,000 employees, many of whom are represented by a collective bargaining agreement. We are seeking someone with prior benefits administration experience who also is an excellent written and verbal communicator with top-notch customer service skills. The right person for this job will be excited to work in a complex and fast-paced environment and in a department in which everyone “rolls up their sleeves” and assists with a variety of responsibilities.
The Benefits Administrator oversees the administration of the Met’s various benefits programs, including but not limited to health, dental, vision, life and disability insurance; Flexible Spending and Dependent Care Accounts; and parking and transportation programs. The Senior Benefits Administrator is an expert on the regulatory environment of benefits administration, including the Affordable Care Act, HIPAA, FMLA, ERISA, and other applicable rules and regulations.
The Benefits Administrator also helps oversee new hire orientation and must be able to take complex benefits and other HR information and communicate that information—both in writing and verbally—in a way that is clear and understandable to all employees.
- Track monthly benefit plan costs, actual versus cash requirements and prepare various reports for management.
- Evaluate eligibility for coverage under medical, dental, vision, flex, transportation and parking programs, long- and short-term disability and life insurance programs. Ensure billing is processed correctly, submit payments or deduction requests to Finance and Payroll Departments, conduct system updates and track availability changes.
- Conduct annual benefits evaluation that includes collection of information on eligibility from collective bargaining groups and sending letters to employees, tracking status and conducting system updates.
- Ensure that eligibility changes are submitted to carriers in a timely manner.
- Ensure that carriers have updated design information, including changes that are collectively bargained. Determine changes to group benefits as each contract is ratified, notify employees and carriers of benefit changes, and update claim categories.
- Review and modify summary plan descriptions and other regulatory notices.
- Monitor other organization plan design changes, evaluate alternatives and make proposals to management.
- Administer COBRA program.
- Coordinate retiree medical program, including billing and Medicare coordination.
- Prepare communications materials for and oversee annual enrollment.
- Coordinate annual enrollment for medical, dental, flexible spending and voluntary long- and short-term disability programs.
- Ensure employee and beneficiary information is accurate and up-to-date.
- Assist in facilitating claims processing and annual volume adjustments.
- Maintain in-depth knowledge of applicable regulations, including but not limited to the Affordable Care Act and FMLA and helps ensure compliance with these.
- Ensure department is compliant with HIPAA privacy rules and conduct departmental HIPAA trainings. Implement policies and procedures.
- Develop internal manual to comply with ERISA and other legislation.
- Draft plan documents and submit to Director of HR/Labor Relations and ERISA counsel for review.
- Ensure all plan booklets and communications are up-to-date.
- Provide administrative support in the department, including assisting with mass in-house employee mailings, helping to answer phones and cover the front desk, filing, data entry, and other tasks, as needed.
NEW HIRE ORIENTATION
- Oversee new hire orientation and ensure orientations are accurate, engaging, and scheduled in a timely fashion.
Qualifications and Skill Requirements
- College degree or equivalent
- Three or more years benefits administration experience.
- Ability to provide top-notch service and support to all employees.
- Ability to communicate complex benefits and other HR information in a clear and concise way that all employees can understand.
- Strong computer skills, including advanced knowledge of Microsoft Word and Excel and previous experience with an HRIS.
- Advanced data analysis skills.
- Knowledge of HR practices and regulations.
- Excellent written communication skills.
- Ability to deal with all personality types and remain poised under pressure.
- Ability to multi-task and handle a high volume of work.
